Specify the Planter for Its Intended Setting
Decide whether the planter will hold live planting, an artificial arrangement or a removable nursery pot. That choice affects the internal dimensions, liner and drainage arrangement. Share the root-ball or inner-pot size as well as the desired external appearance. A decorative shell should not be assumed to provide a watertight planting container without a separately confirmed liner and joint detail.
For outdoor placement, discuss drainage, irrigation access, the supporting surface and the finished weight after planting. Ask the supplier to confirm the proposed finish for the actual exposure, including sunlight and cleaning conditions. A photograph does not demonstrate resistance to wind, impact or long-term weathering. Where a planter is raised or attached to a railing, the fixing and support need site-specific review.
Use the planter shape to define the placement plan. A broad bowl needs clear floor space around its rim, a tall vase needs a suitable base arrangement, and a modular planter needs agreed joins and alignment. Keep pedestrian routes and maintenance access clear. Include the preferred colour reference, quantity, delivery access and any drainage restrictions when requesting a quotation.

Use the reference as a starting point, then provide a measured floor plan or the available installation footprint. Mark entrances, existing fixtures, power points and any fixed obstructions. Include the products or equipment to be accommodated, the number of units required and the preferred colour or finish references. These details help turn a visual idea into a clear scope for drawings and pricing.
Ask the proposal to identify the agreed dimensions, materials, supplied components and installation responsibilities. Confirm packaging, the delivery destination and the required schedule separately.
